Online meeting minutes refer to precise information about a virtual office meeting and group discussion.  It is a formal procedure to record a meeting statement. The format of virtual meeting minutes is similar to that of physical meeting minutes. The online meeting minutes include the meeting time, date, location, attendee name, discussed topic, action items, and so more.

  • Finally, the screenshot of the group discussion has been taken to attached to the minutes meeting.
Discussion

Firstly, each group member provided their opinion on how to complete the assignment perfectly. Secondly, group members divide the task among members to complete it on time. However, a group member has chosen the topic spontaneously based on their wish.

This meeting minute includes the list of topics and group members’ names below. The assigned person’s nickname has been mentioned at the end of the name so that we can easily understand who will complete which topic.

The group member will submit their respective part of the assignment by next week. For example, M M Kobiruzzaman will submit a literature review of topics Crisis and reputation relation, and Causes for crises and their impact.

Action Items
  • The task has been divided among group members spontaneously.
  • All the topics with names were listed down in Microsoft Word for submission to DR ROSMIZA BINTI BIDIN.
  • The screenshot of the meeting has been taken two times as evidence of the group discussion.

Corporate Company Virtual Meeting Minutes Sample

Global Assistant is an international travel agency, and it helps travelers visit tourist attractions. They have a physical office in Malaysia, Singapore, and India. Therefore, top management conducts an online meeting so that all employees can join and discuss.

Online Minutes of Meeting

 Meeting title: Focus on digital marketing and confirm more clients for 2026.

Date: 10 October 2025

Time: 4:00 pm – 5:00 pm

Location: Online meeting through WhatsApp group call

Purpose:  Discuss how to motivate the sales team to increase sales of our products and achieve the yearly target.

Finally, they provide their opinion on how to motivate our employees and achieve the goals.

Discussion

Mr Shakil, also managing director of the Singapore office, shows the last six months’ employee performance reports. He also expressed his expectation on how to increase the sales for next year. He suggested that we should hire a motivational speaker to provide a motivational speech for our sales representatives. Motivational messages and speech always influence employees to achieve the target.

Shagilah from Malaysia represents her coworkers’ reports, and she wants to recruit more employees. She expressed that we should recruit more sales executives to achieve the monthly target.

Kallol from the India office highlighted that we should offer extra incentives for our employees to motivate them. He also mentioned that we can award our best employee with the iPhone 17 Pro Max.

Action Items

In December, we will invite Brian Tracy to deliver a motivational speech for our sales officers. 

For the Malaysia office, we will recruit more employees for digital marketing and sales officer positions.

Our company will provide three iPhone 17 Pro Max for the best employees in Singapore, Malaysia, and India offices.

Adjournment
The meeting was adjourned at 05:00 PM as scheduled. Hence, the CEO declared the adjournment.

3. Opening

For example, the regular weekly meeting of the Demigods Bullies group was called to order on 24 June 2024, 4:00 PM in room 202 in the Faculty of Modern Language and Communication.

4. List of attendees

The list of attendees includes all the participants of the meeting. For example, the members who participated in the meeting.

List of Absences

It notifies those who did not join the meeting. For example, the members who did not join the meeting discussion. It also updates and reminds members who are absent from the meeting.

5. Agenda

6. Discussion

8. Action Items

Based on the discussions, I sorted a few issues that must be completed within a time period. For example, how many decisions have been taken throughout the meeting discussion? In this stage, you have to follow the 5W and 1H rules to accomplish.

It is written evidence of when and how the meeting was dismissed.

10. Submitted by

It represents who writes the meeting minutes and submits them to the authority.

11. Approved by

It describes the top management individual who accepts and approves the meeting.

12. Documents

Documents refer to the items that we attach to the meeting minutes; for example, photos, Word files, and PDF files.

Discussion

In addition, all group members must emphasize social media activities such as uploading photos and videos regarding bullying and cyberbullying.
Finally, we must prepare ourselves enough to perform effectively for the final program at Dewan Za’ba. Every group member will rehearse according to the script.

Notes
Kobiruzzaman will be responsible for booking the Dewan Za’ba hall room for our final program by next week.
Additionally, Joshua will print out all posters with proposals.
Samuel and Jiven will go to the departmental office to get signatures to approve these posters to hang on the boards.

Dividing group members’ duties for the social campaign based on the negative impact of bullying and cyberbullying will be held on 29 November 2019.

Additionally, we have finalized the dress code, food, and beverages for the program.
The member has approved the program budget; therefore, everyone must deposit payment before the due date.

Importance of Meeting Minutes

Firstly, the meeting minutes record the exact date, time, location, and meeting activities. It is one kind of formal evidence that narrates your whereabouts. Also, it keeps clear evidence of attendees who attended and didn’t attend the meeting.

Further, it elaborates on the agenda and discussion topics, who will take responsibility, and how to solve the problem or achieve goals. Usually, group discussion doesn’t have a long attention span. So, minutes help to divert from sidetracked and facilitate staying on track.

Furthermore, minutes represent the list of action items and adjourning time precisely. Typically, the action list indicates members’ consciousness about performing their respective duties on time properly.

Finally, the minutes of the meeting state information regarding upcoming schedules with specific times and dates and carry the names who submitted and approved them. It is an alarming directive for group members to prepare for a new meeting.
